Information we use and why
- Direct enquiries: your name, contact details, organisation and the information you choose to send by email or discuss by telephone. We use this to respond, arrange conversations and maintain relevant correspondence. Our lawful basis is our legitimate interest in handling business enquiries. Where you ask us to take steps towards a contract with you, we may instead rely on those pre-contract steps.
- Website delivery and security: requests to our hosting provider can include your IP address, browser information, requested page and technical diagnostic information. This is used to serve the website, prevent abuse and investigate faults, based on our legitimate interests in operating a reliable and secure service.
- Optional analytics: if you choose Allow analytics, Cloudflare Web Analytics receives page-view and performance measurements, such as the page visited, referrer and browser/device information. We use the resulting reports to improve the website. We load this optional service only with your consent. You can withdraw that choice through Cookie settings.
- Privacy choices: we store your analytics choice, notice version and selection time in your browser to respect it. This preference storage is necessary to remember your request.
- Legal matters: relevant correspondence may be used to meet a specific legal obligation or establish, exercise or defend legal claims. The applicable basis is that obligation or our legitimate interest in handling the claim.
Please avoid sending identity documents, account credentials, bank details or other sensitive information through an ordinary website enquiry. Giving contact information is voluntary, but we may be unable to reply without it.
Who receives information
Relevant Circa45 personnel handle enquiries. Cloudflare provides hosting and optional analytics; Google Workspace provides our business email. Professional advisers or public authorities may receive information where necessary for a particular matter or where the law requires it. We limit disclosure to what is relevant to the purpose.
Provider information: Cloudflare privacy information and Google Workspace data-processing terms.
Access requests and booking services
Request access and Log in links currently lead to our contact page to arrange a discovery call. Access requests are reviewed manually; booking a call does not automatically grant access. Our contact page offers an embedded Calendly calendar, loaded only when you select Load booking calendar. Calendly receives browser and connection information when loaded. When you book, we receive your name, email address, chosen time and any answers you provide, and use these to arrange and manage your requested conversation under our legitimate interest in handling enquiries (or pre-contract steps where applicable). Calendly provides scheduling and confirmations; see Calendly’s privacy notice. Its processing may take place outside the UK under its applicable transfer arrangements. Booking information is retained according to the enquiry retention criteria below. You may instead contact us by email or telephone. These services have their own collection points and technology. Review Calendly’s privacy information before submitting booking details. Contact us if you need that information. The analytics choice on this website does not grant consent for tracking on another domain.
International processing
Our hosting and email providers operate internationally, so information may be processed outside the UK. Their contractual arrangements describe international transfers and safeguards, including applicable adequacy arrangements and standard contractual safeguards. You can ask us for information about the safeguards relevant to your data. See Cloudflare’s data-processing terms and Google Workspace’s terms linked above.
How long information is kept
The browser preference expires after 180 days, or sooner if you clear browser storage. We retain enquiry correspondence for as long as it remains necessary to handle the enquiry, maintain an active relationship, or meet an applicable legal or record-keeping need. In deciding when to delete it, we consider whether the matter is closed, whether follow-up is reasonably expected, and any relevant legal claim or retention requirement. Technical data held by providers follows the relevant service retention arrangements. Ask us about the retention applicable to a particular record.
Your choices and rights
Depending on the circumstances, you can ask to access or correct your information, have it erased, restrict its use or receive a portable copy. You may object to processing based on legitimate interests and to direct marketing. Where we rely on consent, you may withdraw it without affecting earlier lawful processing. Rights can be subject to legal exceptions.
Use hello@circafortyfive.com for these requests. We may need proportionate information to verify your identity. You can also complain to the Information Commissioner’s Office.
Marketing and automated decisions
A website visit or ordinary enquiry is not treated by this website as agreement to receive unrelated marketing. If you want marketing contact to stop, email hello@circafortyfive.com. This public website does not make automated eligibility decisions about you; access requests are reviewed manually.
Updates
We will update this notice when our website processing changes and identify the revision date below.
